Asset Import Options

Record processing options may be set for an asset import specification. When you set record processing options for your asset import specification, you are specifying what kind of records are admissible during the data import.

Important: The import options must be set at the time you create the spec. Once the spec is created, the option settings cannot be changed.

1. To reach the Options window for a specification, click the Options button found to the right of the External Data field.

2. The IntelliTrack Import/Export Utility-Import Options form for this import specification appear onscreen. It contains the Add/Update Options available for the import specification.

3. When you set add and update options for data in the import file, you are specifying what kind of records are admissible during the data import.
   1. Disallow Add:
      1. when marked, a new data record is not allowed to be imported.
      2. when unmarked, a new data record is allowed to be imported.
   2. Disallow Update:
      1. when marked, the property of an existing data record is not allowed to be updated during the data import.
      2. when unmarked, the property of an existing data record is allowed to be updated during the data import.

Asset Import Options

During the Assets import, you are able to restrict a new data record from being added to the database or you are able to restrict the asset and/or item property for a specific data record to be updated via the Import Options settings for the Assets import. The following record processing parameters are available for an Assets import specification.

Account

• Add
  • To add a new account to the database during the assets import, do not mark the Disallow Add checkbox. An asset with a new account will be imported into the database. A new account will be added to the Accounts lookup list.
  • If you do not want to add a new account to the database during the assets import, mark the Disallow Add checkbox. An asset that contains a new account will not be imported and the new account will not be added to the Accounts lookup list.
• Update Property for the Asset
  • To update the account property for an asset, do not mark the Disallow Update checkbox. The account property for the asset will be updated during the assets import.
  • If you do not want to update the account property for an asset, mark the Disallow Update checkbox. The account property for the asset will be updated.

Asset

• Add:
  • To add a new asset during the import, do not mark the Disallow Add checkbox.
  • If you do not want to add a new asset during the import, mark the Disallow Add checkbox.
• Update Property for the Asset:
  • To update the asset property for an existing asset do not mark the Disallow Update checkbox.
  • If you do not want the asset property for an existing asset to be updated during the data import, mark the Disallow Update checkbox.

Assignee

• Add:
  • To add a new assignee to the database during an assets import, do not mark the Disallow Add checkbox. A new assignee will be added to the asset and the Assignee list.
  • If you do not want to add a new assignee to the database during an assets import, mark the Disallow Add checkbox. A new assignee will not be added to the asset or to the Assignee list.
• Update Property for the Asset:
  • To update the assignee property for an asset during an assets import, do not mark the Disallow Update checkbox.
  • If you do not the assignee property for an existing asset to be updated during the data import, mark the Disallow Update checkbox.

Category (Category Setting for an Item)

• Add:
  • To add a new category to the database during an assets import, do not mark the Disallow Add checkbox. An asset item with a new category will be imported and the new category will be added to the Category Lookups list.
  • If you do not want to add a new category during the assets import, mark the Disallow Add checkbox. An asset item with a new category will not be imported and a new category will not be added to the database.
• Update Property for an Item:
  • To update the category property for an existing asset item during the assets import, do not mark the Disallow Update checkbox. The asset item category property for the asset item will be updated during the item import.
  • If you do not want to update the category property for an existing asset item during the assets import, mark the Disallow Update checkbox. The asset item's category property will not be updated during the item import.

Condition

• Add:
  • To add a new condition to the database during an assets import do not mark the Disallow Add checkbox. An asset with a new condition will be imported and a new condition will be added to the Conditions lookup list.
  • If you do not want to add a new condition to the database during an assets import, mark the Disallow Add checkbox. An asset with a new condition will not be added during the data import; the new condition will not be added to the Conditions lookup list.
• Update Property for the Asset:
  • To update the condition property for the asset, do not mark the Disallow Update checkbox. The condition property for the asset will be updated during the data import.
  • If you do not want the condition property for the asset to be updated, mark the Disallow Update checkbox. The condition property for the asset will not be updated during the data import.

Division (Division Setting for an Asset Type Item)

• Add:
  • To add a new division to the database during an assets import, do not mark the Disallow Add checkbox. An asset type item in the new division will be imported and the new division will be added to the system.
  • If you do not want to add a new division during the assets import, mark the Disallow Add checkbox. An asset type item in a new division will not be imported; the division will not be added to the database.
• Update Property for an Asset Type Item:
  • To update the division property for an existing asset type item during the data import, do not mark the Disallow Update checkbox. If the asset type item record contains a different division, the division property of the asset type item will be updated during the asset type item import.
  • If you do not want to update the division property for an existing asset type item during the data import, mark the Disallow Update checkbox. The division property for the asset type item will not be updated during the assets import.

Item

• Add:
  • To add a new asset type item to the database during an assets import, do not mark the Disallow Add checkbox. A new asset type item will be added during the asset type item import.
  • If you do not want to add a new asset type item during the asset type item import, mark the Disallow Add checkbox. A new asset type item will not be added to the system during an asset type item import.
• Update Property for an Item:
  • To update the item property for an existing asset type item during the data import, do not mark the Disallow Update checkbox. The item property for an asset type item will be updated during the assets import.
  • If you do not want to update the item property for an existing asset type item during the assets import, mark the Disallow Update checkbox. The item property for an item will not be allowed to be updated during the assets import.

Location

• Add:
  • To add a new location to the database during the assets import, do not mark the Disallow Add checkbox.
  • If you do not want to add a new location to the database mark the Disallow Add checkbox.
• Update Property for the Asset:
  • To update the location property for the asset during the import, do not mark the Disallow Update checkbox.
  • If you do not want to allow the location property for the asset to be updated during the import, mark the Disallow Update checkbox.

Manufacturer (Manufacturer Setting for an Item)

• Add:
  • To add a new manufacturer to the database during an assets import, do not mark the Disallow Add checkbox. A new manufacturer will be added to the asset type item and also to the Manufacturers Lookup list.
  • If you do not want to add a new manufacturer during the assets import, mark the Disallow Add checkbox. An asset type item with a new manufacturer will not be added during the import and the new manufacturer will not be added to the Manufacturers Lookup list.
• Update Property for an Item:
  • To update the manufacturer property for an existing asset type item during the data import, do not mark the Disallow Update checkbox. The manufacturer property for the item will be allowed to be updated during the assets import.
  • If you do not want to update the manufacturer property for an asset type item during the assets import, mark the Disallow Update checkbox. The manufacturer property for the item will not be updated during the assets import.

Model (Model Setting for an Item)

• Add:
  • To add a new model to the database during an assets import, do not mark the Disallow Add checkbox. A new model will be added to the asset type item and to the Model lookup list.
  • If you do not want to add a new model during the assets import, mark the Disallow Add checkbox. An asset type item with a new model will not be added during the import; the model will not be added to the Models Lookup list.
• Update Property for an Item:
  • To update the model property of an asset type item during the data import, do not mark the Disallow Update checkbox. The model property for an item will be allowed to be updated during the assets import.
  • If you do not want to update the manufacturer property for an asset type item during the data import, mark the Disallow Update checkbox. The model property for an item will not be allowed to be updated during the assets import.

Site (Site Setting)

Add:
• To add a new site to the database during an assets import, do not mark the Disallow Add checkbox. A new site will be added to the item and to the site list for the division.
• If you do not want to add a new site to the database during an assets import, mark the Disallow Add checkbox. A new site will not be allowed to be added to the item property or to the list of sites for the division during the assets import.

• Update Property for an Item:
  • To update the existing site property for an item during an assets import, do not mark the Disallow Update checkbox. The site will be updated during the assets import.
  • If you do not want to update the existing site property for an item during an assets import, mark the Disallow Update checkbox. The site will not be allowed to be updated during the assets import.

Unit of Measure (Unit of Measure Lookup Setting for an Item)

• Add:
  • To add a new unit of measure lookup value to the database and to the item, do not mark the Disallow Add checkbox.
  • If you do not want to add a new unit of measure lookup value to the database, mark the Disallow Add checkbox.
• Update Property for an Item:
  • To update the unit of measure lookup value, do not mark the Disallow Update checkbox.
  • To update the unit of measure lookup value, mark the Disallow Update checkbox.
